Dear colleagues and friends.


I am writing this email in the hope of getting your help in me carrying out a survey as part of my MRP (Major Research Project) at OCADU. The aim of the survey is to get the experience of people in waiting areas in hospitals. I need your assistance in getting to those on your contact list with such experience, including family members, friends and colleagues. I expect this response not take more than 30 minutes and I hope this does not put a big burden on all those taking part.

I would like to highlight the following issues regarding the survey:

  *   Respondents are required to be no less than 18 years of age
  *   Respondents should have Gmail account
  *   The survey is only for those respondents with their experience in hospitals in the GTA (Great Toronto Area)
  *   The respondents in the survey remain anonymous and they are not required to give their name
  *   Response to the question on consent is mandatory while other questions are optional
  *   The respondents in your contact list should not have any direct contact relationship with me the surveyor
  *   Those with experience to share and are willing to participate but because of physical disability or for any other reason are unable to do so, may seek the help of a friend or a colleague.
  *   Survey expiry date: 20 January 2018.

This survey is part of a research project in the Inclusive Design Masters program at
OCAD University. The topic of study is the Visitor Experience in the Emergency
Department Waiting Room.

The intent of this research is to gather personal stories about user experience with
particular interest in the architectural and environmental design aspects of the
waiting room. The information will be used to develop a thesis about how to
improve patient experience and accommodation of companions/families.

The research question asks how we might improve the environment itself to better
support people during this difficult time of stress, worry, and trauma.

My research so far shows that these spaces have not been designed with optimal attention to user needs. I am seeking personal stories to draw out experiences, ideas, needs and desires that hospital staff and designers may not be aware of when developing these waiting places.

This is important because designers need more thorough analysis of what people of all ages, sizes, cultures and abilities need and desire when they are struggling with health issues and seeking urgent help – during emotionally and physically difficult life events.

Benefits:
I hope that my work will help to make change that is inclusive and useful to people, through discovering issues and concerns that are not usually considered by those developing such healthcare spaces/places.

I intend to provide a new set of recommendations that will be useful to design professionals and hospital administrators, and to share my study and outcomes in the local and international healthcare design domain. Results will be included in my Masters MRP document (author Ahmed Ghalib) held at the OCADU library upon completion in mid-2018, and available upon request from the library (416-977-6000, Ext. 334).

Please note that there will be no contact between the researcher and specific respondents. The information gathered will be anonymous, and no names (of people or specific hospitals) will be used. Any mention of specific, identifiable persons will be redacted (removed) in data collected by the survey.

Participant Requirements :

- patient or a patient companion
- experience has occurred post-2012
- experience should be in one of the GTA (Great Toronto Area) hospitals


Please note that:

1) All responses will be anonymous and will remain anonymous in all data storage and published materials.

2) Responses will be held securely in compliance with the Tri-Council policies detailed at the following link: http://www.pre.ethics.gc.ca/eng/policy-politique/initiatives/tcps2-eptc2/Default/ (TCPS2 2014, pp. 68-69) The survey data will be downloaded within 2 days, removed from the Google platform and stored securely offline in a secure filing system in order to minimize any possible online breach of privacy. Please be advised that Google is a US company, and data collected can therefore be subject to the Patriot Act.

3) If you do not wish to complete the survey, simply do not hit the send button, and your answers will be erased, and no information will be sent to the researcher. Once you do hit the send button, it will not be possible to withdraw from the survey, as all answers are gathered anonymously – the researcher will not be able to connect the answers to particular respondents.

4) - Please don't mention the hospital name or the staff members names in your story or experience. If you do, they will be redacted (removed) from the data collected.

5) - The age of the participants in the survey should be +18
